Visibility into Shadow Applications reveals over 3X the number of SaaS apps and ensures SOC 2 compliance

Before using Zluri, Autify’s team managed their SaaS applications via a list on Notion. The list was comprised of 90 odd-managed applications. However, there were two scenarios Autify had no control over - unmanaged applications and ghost subscriptions (Shadow IT).

“We chose Zluri mainly because of the number of SaaS connections and various discovery methods, especially where Chrome extension and local agents are not mandatory." - Atsushi, Corporate IT Manager

Without IT oversight, employees signed up for new applications to enhance their business productivity. As a result, the IT team had no insight or control over these unmanaged applications.

In addition, when an employee left the organization, the IT team wasn’t sure if the SaaS applications the resignee had subscribed to were canceled. This led to unmanaged ghost subscriptions and a potential security vulnerability for Autify.

Zluri’s powerful discovery methods identified 300 managed applications - over 3X the number of applications managed on Notion. In addition to the managed applications, Zluri identified more than 1500 undiscovered applications in its ecosystem.

“We were shocked to notice a significant number of unmanaged SaaS applications. The ease of central visibility helped us analyze and make key business decisions about managing and saving money on our SaaS applications.” - Atsushi, Corporate IT Manager

Centralized, detailed visibility delivers savings

Autify needed help consolidating all of its SaaS usage metrics in one place. It was identifying SaaS applications through financial transaction backtracking, which was time-consuming and error-prone.

As a byproduct of a lack of centralization and growing shadow apps, Autify couldn’t control its spending. Be it used, unused, or underused applications, the business lacked insight-led decision-making capability to cut costs wherever possible.

With Zluri, Autify gained centralized visibility in all of its SaaS applications. The IT teams could now clearly identify details on the usage of individual applications. These insights helped Autify significantly improve SaaS spend, and the clear insight helped them improve its decision-making process.

By analyzing and optimizing app usage of just 7 SaaS applications, Autify saved $12000 in the first six months of 2023.

“Saving money on SaaS is critical for startups. Zluri helps us be more proactive in our SaaS spending. Zluri helps us spend our money smarter.” - Takumi, Manager, IT & Administration

Automated access management playbooks with granular actions eliminate an incomplete and error-prone process

Prior to Zluri, Autify created checklists in a ticketing system to onboard and offboard employees. The challenge with this system was that each ticket meant dealing with different applications and policies.

The checklists weren’t streamlined and were scattered across the ticketing and documentation platform, which resulted in incomplete, erroneous, and patchy onboarding/offboarding.

Using Zluri’s powerful playbooks, Autify’s team configured the onboarding/offboarding workflows based on departments and teams. As of early 2024, 45% of integrated apps are part of onboarding and off-boarding playbooks.

In addition to automating actions like adding users or removing users from a group, the playbook goes a step further. It facilitates granular actions such as changing a user's organization unit in Google Workspace, assigning a Pro License in Zoom, transferring all leads from one user to another in Salesforce, and much more. By simply selecting the users and running the playbooks, the whole provisioning/deprovisioning process is completed in minutes.

Zluri is now an integral part of corporate IT operations. It helps us maximize results with a minimum number of team members, and my favorite feature is the onboarding playbook.

Zluri has been instrumental in Autify’s journey towards secure automations, cost-cutting, and complying with SOC2. In 6 months, Autify IT transformed a reactive SaaS procurement process into a dynamic, proactive, and compliant process that reduces security gaps and improves the user experience.

Autify aligns with SOC 2, and we seriously care about security. Undiscovered SaaS applications created a security vulnerability. Zluri’s powerful discovery closed this security gap efficiently and effectively.
